The Executive Assistant position is an ideal role for a detail-oriented individual who is interested in pursuing an administrative career with an emphasis on supporting those at an executive level. This individual will perform a variety of administrative, clerical, and follow-up tasks for the executive and their team. We are looking for someone that thrives in a fast-paced environment and is able to make thoughtful decisions quickly.
Regular activities will include:
- Schedule appointments, and proactively maintain, update, and confirm the calendar
- Coordinate travel arrangements, prepare itineraries, and plan logistics for both personal and professional travel including all family travel
- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly, follow up and schedule all meetings both personal and professional
- Maintain confidentiality of highly sensitive information, including all family members
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Record notes and messages for meetings when needed
- Schedule and arrange meetings and conferences
- Perform as a liaison between the employer and household staff as required
- Act as the first point of contact for the staff and home contractors while managing project progress and completion
- Manage inventories and appropriate returns and ensure crediting has occurred
- Work with the main office to assist in day-to-day needs
- Personal work could make up 70-80% of your day and Professional (finance industry) work the balance
Must Have Skills include:
- Google calendar and G Suite knowledge
- Solid communication
- Demonstrate strong attention to detail
- Effective and efficient time management
- Strong follow up and seeing projects through to completion
Job Type: Full-time
Salary: $45,000.00 – $80,000.00 per year
