About This Role

We are currently expanding our Executive Support Team.

The Executive Personal Assistant position is an ideal role for a detail-oriented individual who is interested in pursuing an administrative career with an emphasis on supporting those at an executive level. This individual will perform a variety of administrative, clerical, and follow-up tasks for the executive and their team.

Regular / Daily activities will include:

  • Schedule appointments and maintain/update the calendar
  • Coordinate travel arrangements, prepare itineraries, and plan logistics
  • Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly, follow up and schedule all meetings both personal and professional
  • Maintain confidentiality of highly sensitive information, including all family members
  • Manage complex office administrative work requiring the use of independent judgment and initiative
  • Answer phone calls received and direct them appropriately
  • Record notes and messages for meetings when needed
  • Schedule and arrange meetings and conferences, be proactive and confirm and manage the calendar
  • Manage travel arrangements and itineraries, both professionally and personally including all family members
  • Perform as a liaison between the employer and household staff as required
  • Act as the first point of contact for the staff and home contractors
  • Read and write correspondence in mail or email form
  • Manage most home scheduling for work to be done and confirm work that has been done by contractors and workers
  • Manage multiple business holdings and renewals each year
  • Manage inventories and appropriate returns and ensure crediting has occurred
  • Work with the main office to assist in day-to-day needs
  • Ensure all daily tasks are completed
  • Professional work could make up 60-70% of your day
